High Leigh - Organiser Checklist
Photocopying
There is a photocopier available for conference staff and delegates to use after agreement with the Duty Manager. Whoever uses the photocopier must make a note of the number of copies made and mark on the chart provided under the Conference name. The charges will be added to the Conference invoice.
Telephones
In the Main House is a public payphone which accepts incoming calls (01992 463244). The phone accept cash only, and not phone cards.
Fax Bureau
The office fax machine (01992 446594) is available to send and receive documents for conference delegates for which we make a modest charge per page.
Internet Access
We have a computer suite with broadband Internet access. This computer suite is available mid-week, free of charge for all adult guests. There is the opportunity to leave a donation should you wish. In addition, free-to-use wireless internet is available across the entire Centre.
Post
Incoming mail is delivered once a day to the Centre, and any mail for conference delegates is placed on the notice board in the main entrance hall. There is a red post box for outgoing mail in the main entrance hall. The Royal Mail postal collection is at approximately 6pm weekdays and at 11am on Saturdays. There is not a collection on Sundays. First class stamps for UK mail are available from the Shop during coffee breaks. Stamps for overseas mail are available from the office.
Audio-Visual Facilities
Overhead projectors, screens, flipchart/whiteboard stands and pens are available in any of the conference rooms. Televisions are also available on request. Flip Chart paper is available to purchase; one unit being 10 pages. Radio microphones, VHS players, DVD players and Video/Data Projectors are available in certain rooms at no extra charge. Please let us know of your requirements on the Final Details Form.
Bar
A well stocked bar is available to those groups who request it in advance and is available 30 minutes before lunch and evening dinner and between 9.30-11pm in the evening. Times can be negotiated with the Duty Manager. Bottled wine is available for your dinner table if ordered in advance of your conference arrival and this will be added to your final invoice. Please note that the possibility of a clash of opinions may arise over alcohol consumption and therefore all conference organisers will be consulted over the opening of the bar. We will try and ensure that your requirements are met. Please let us know of your requirements on the Final Details Form. We are a Licensed premises and as such it is not permitted to bring alcoholic beverages of any sort into any part of High Leigh. Non-compliance will result in the charging of corkage either to the individuals concerned or by being added to the final invoice.
Private Bars/Receptions
Alcoholic and non-alcoholic receptions can be provided by prior arrangement. These receptions can be as simple or elaborate, as you require. Nibbles or a finger buffet can also accompany them, again by prior arrangement. We shall be happy to discuss your requirements with you
Shop
The Centre’s shop is stocked with a range of Christian gifts, confectionery, ice creams, cold drinks, toiletries, stationary and stamps. It is open during refreshment periods only.
Sports and Leisure Facilities
Outdoors, we have a sports field suitable for football, rounders, etc, grass tennis courts, volleyball and badminton net and croquet. Sports equipment is available for hire from the Enquiry Desk and a small deposit and hire charge is required. Damaged and lost equipment will be charged for.
Communion Requisites
The Centre can supply bread, both alcoholic and non-alcoholic wine and tablecloths for a small charge. Chalices and individual glasses are also available free of charge. Please inform us of when your group would like Communion on your Final Details Form and we will have the items ready in your meeting room just before your communion service.
Security
Please note that cash, valuables, chequebooks, etc should not be left in bedrooms. There is a safe where delegates may deposit such items. There are keys available for certain conference rooms, please ask on arrival. Please note that any equipment brought onto the premises including musical instruments, computers and office equipment is the responsibility of the owner, and is not covered by High Leigh Conference Centre’s insurance. If you require insurance on these items, then you must ensure that this is obtained from your insurers before the start of the conference. All doors are locked at approx. 11.30pm each night. The entrances to all the bedroom blocks give 24-hour access to the building via a key code entry system. An easy to remember four-digit code is given out during dinner on the first evening of your stay.
Pets
Strictly no pets - on the premises or left in parked cars - with the exception of guide or hearing dogs.
Menus
Our menus offer a good variety of nutritious and filling foods, including our ‘home-made’ bread and cakes for afternoon tea. Much of what we serve is home cooked using fresh produce as much as possible. Special diets can be catered for if requested in advance. Those on special diets simply make themselves known to staff at each mealtime. If you would like to up-grade to a high cost menu for the duration of your conference or make one or more of your meals special, then enhanced/special meal menus are available at an additional cost. Please contact the Centre to discuss your requirements for sample menus.
Meals and Refreshments
The normal times for meals and refreshment breaks are as follows: -
Breakfast - 8.30 am
Coffee - 10.30am / 10.45am / 11.00am
Buffet Lunch (Roast on Sundays) - 1.00 pm
Afternoon Tea - 3.30pm / 3.45pm / 4.00pm
Dinner - 7.00 pm
Evening Refreshments - 9.00pm / 9.15pm or Bar 9.30-11.00pm
Please be prompt for all meals. The bell is rung in the Main House to indicate that the meal is ready. These times are our “normal” meal times, but it is possible to vary them on one or more days of your conference, where we will do our best to accommodate you, but an additional charge may be necessary. We can also provide high tea for children if notified in advance, typically at 5.00pm. Please note that your programme should state the time of the meal, (i.e.) Breakfast 8.30am, rather than 8.30-9.15. The latter may cause confusion when delegates assume continuous service.
When planning your programme it is best to allow a complete hour from the start of a meal until the start of your next session. Similarly, half an hour should be allowed for a refreshment break. For groups commencing their conference with evening meal please note that hot meals cannot be served beyond 8.00pm, although sandwiches will be provided if notified in advance.
No Smoking Policy
High Leigh operates a ‘No Smoking’ policy throughout the centre. Failure to comply with this could set the fire alarm off, which would lead to an evacuation of the building and the fire services being called.
Late Night/Early Morning Meetings
If you think your meeting will continue after 11.30pm or start before 7.30am, it may disturb other guests. Please notify us at the time of booking and we will do our best to allocate you a meeting room that will not disturb other people. If arrangements are not made we ask that groups respect that other people are using High Leigh and that before 7.30am and after 11.30pm noise is kept to a minimum.
Welcome from the Management Team
The Duty Manager will welcome your group during dinner on your first night with us. They will also inform your group of the domestic arrangements during your stay.
