When you organise a conference, we understand there is a lot of administration required, so we have designed CCT Event Manager to help handle as much of this in one place as possible. In addition to handling delegate details, requests and requirements, we’ve built a facility for you to keep track of booking prices and payments that you can use if you wish, and best of all, it’s provided by CCT completely free of charge.
Designed to be as easy as possible, you can enter the “Total Price” of the booking on the main delegate screen of each booking. CCT Event Manager will keep track of this price and conveniently show it to you on the delegate listing screens. It’s best to enter the price when you first enter a booking so you make sure you keep all your data up to date, but you can always go back and edit it later if you need to.
Often conference organisers choose to take a deposit when a booking is taken, with final payments being made at a later date nearer the conference. To help you keep track of what payments have been paid, and what is left to pay you can use the “Add Payment” button to log multiple payments against the booking. Simply select the date, enter the amount paid and the payment type.
The payment type lets you select between Cheque, Card, Bacs, Cash and Funded as options, which can help you see where funds have been deposited when you look back later.
As you get closer to the conference date, you may wish to see what bookings still have an amount outstanding. The Bookings Manager screen allows you to order the list of bookings by the amount outstanding, to bring delegates with payments outstanding to the top. Simply click the up arrow to do this. As soon as you enter a payment for a delegate the amount outstanding will be updated.
To help you even further, you can also send a bulk email to delegates with payments outstanding reminding them to make payment using the “Email Guests” facility of CCT Event Manager.
