CCT Event Manager Tips – Creating name badges

One thing we know many conference organisers want to do before their event is to produce name badges for every delegate. To make this as easy as possible, we’ve created a facility within CCT Event Manager to help you with this.

What’s more, throughout 2016 CCT are offering a free service to groups who use CCT Event Manager, whereby we’ll print name badges for you and have them ready with lanyards on the day of your arrival. Ask a member of staff in advance of your event and we can organise this for you.

There are two types of badges that can be produced through CCT Event Manager. The first are printed onto A4 sheets of paper with 10 per sheet, allowing you to trim them to size and insert into appropriate holders. The second type are designed for printing on a Dymo LabelWriter, onto their 'Name Badge Cards' material.

To start creating your badges, click the 'Print Badges' from your Dashboard, that’s number 6, towards the bottom of the list.

If you have a logo you wish to add to the badge, you can select the file from your computer by clicking the 'Browse' button and locating the file. The image can be colour or black and white, although if you print on a Dymo LabelWriter it will come out black and white whatever you select. Upload either a JPEG file or a PNG for your logo for best results.

The next checkbox allows you to select whether you want the event name to appear on the badge. This will appear under the delegates name if you choose to have it shown. If ticked, the box underneath this allows you to change how the name of your event will show if you want it slightly different.

To help with handing out badges, or for delegates to know what room they are in, you can optionally select to display room numbers on the badges. If selected, the assigned bedroom number will show on the bottom right hand corner of each badge.

Once you’ve checked these details, there are two blue buttons at the bottom of the page, that will let you download a PDF file for printing.

The first option is for the A4 paper version. The second option for the Dymo LabelWriter.

For best results we suggest that you disable page scaling when you print the PDF. This will probably be labelled 'Actual Size' in your PDF print settings.

For the Dymo Labels, CCT Event Manager outputs pages that are designed for S0929100 cards, which are also sometimes called 'Medium Appointment Cards'. (See Dymo website). Make sure your page size is set to '30374 Appointment Card' under 'Page Setup', and that you print the labels 'Actual Size'. It’s probably best to try printing one or two first, before you send all pages to print in case you have the settings wrong.

It’s really straight forward to produce your badges, so take a look and give it a go. You can produce a new set of badges at any time, so you can always try it out now and produce a final set just before your event when your delegates are confirmed.
