CCT Event Manager Tips – Printouts and Reports

As well as helping you manage your bookings and bedroom assignments, CCT Event Manager provides a variety of convenient printouts and reports to help you organise your event.

A number of different printouts are available depending on what information you require and it’s really easy to obtain them from your Event Manager Dashboard, simply select task 5 “Print Arrival Lists”. You’ll see four different reports listed, each with the option to download a PDF or an Excel document. The PDF is perfect if you just need to print something off, the Excel document is suitable for further manipulation, for example if you want to search, reorder or extract data from the report. The Excel document is exported as a CSV formatted file, which can also be imported into a wide variety of other tools.

CCT Event Manager options

To download a report, simply click one of the blue buttons to the right of the report name. There are two different base reports available.

The Room List is great as an attendance list or check-in list. It shows the delegates name (prefix, first name and surname), room number, and a description of the room. The room description will include information such as whether it is en-suite or non en-suite, and how many and what type of beds the room has. Depending on how you want to use the list, you can select to download it either in “Room Number” order or “Delegate Surname” order. As a check-in list, the delegate surname order is probably more helpful.

The Delegate Details report provides lots more information, including dietary requirements and any notes or requests held against the booking. The full list of fields includes the delegates name, age, room number, dietary requirements, organiser notes, notes sent to CCT and the arrival and departure time. Again, this report is available in “Room Number” or “Delegate Surname” order.

CCT Event Manage print options

If you need more extensive data from your bookings, there is an “Export Data” option on the “Manage Bookings” screen. We’ll cover the details of how to use this facility in a future Event Manager Tip. To help you keep track of your progress towards your contracted places, and to keep you informed about what tasks need to be completed at each point, we’ll also send you an email report each month with updates about your event.
