From church family retreats to international conferences, seating arrangements can make much more of a difference than you may think.

How you organise your seats and how you arrange your guests can have a significant impact on the success of your day. It can help to set the scene for your event, create an inclusive atmosphere and help the conference or meeting run smoothly.

If you’re currently in the middle of choosing a seating arrangement for an upcoming event, here are a few tips for getting your layout just right.

Choice of layout

The number of layout options will depend on the size of your chosen event space and on the number of delegates who will be attending. In general, the larger the room, the more options that are available. However small meeting rooms and conference spaces can also be very flexible when it comes to seating arrangements.

In larger spaces, many event organisers choose to arrange their chairs in rows. Ideal for conferences with a lot of speakers and presentations, this ‘theatre’ style approach can work very well for events with a large number of attendees.

How to choose the right layout for your event

The first step in choosing the right seating arrangement for your event is to confirm your choice of event space and finalise the number of people who’ll be attending on the day.

Next, you need to think about how you want the day to work. Will you have a programme of presentations and lectures? Will attendees be taking part in group discussions and debates? And do you want everyone at the event to feel included and on an equal footing?

In general, theatre and classroom style layouts work best when attendees will be listening to presentations and lectures. While boardroom setups are perfect when you want to get everyone involved and encourage debate and participation.
